Minutes from April 2008 Winter Breakout Meeting

Old Business
&   Speaker – Phil contact Mark Cahill but after going back and forth, Mr. Cahill declined to be our speaker this year. Phil then contacted two others (Shawn Harper and Joel Goddard). He had not hear back from Mr. Harper and Joel Goddard has responded and accepted to be our speaker this year. He will be coming for the amount of $2000 plus expenses.
&   Band – House of Echo confirmed during the meeting that they will be our band for the Winter Breakout. Their fee is $1500 plus they will be doing a tract time.
&   Illusionist – Brett Myers Magic (bammagic.com) is our special this year and will be coming for $1000.00 plus he will be doing a tract time.
&   Skycroft – Phil spoke with Skycroft about the 240 minimum in the contract. Doug informed us that Skycroft is unable to lower this amount, basically if they did it for us they would need to do it for everyone. If we did lower it, we would lose use of class rooms, and on having exclusive use of the gym. Phil did sign the contract so that we would not lose the weekend and found out that we do not need to send a deposit. Doug had suggested that he could cut the cost of the retreat if we were willing to have the students do a mission project on Saturday from 9 to 3. After discussion, we decided not to pursue this since this is not the theme of the Winter Breakout, but also we would need to revamp the whole retreat. This time frame would eliminate the tract times and the sports tournaments.
&   We discussed how we could get the word out more about the Winter Breakout. Phil has the postcards available and we discussed mailing them out the churches now to get them prepared. It was also decided that since so many of the students have their own Face Book pages, that we would have a Face Book page for the Winter Breakout that the students and get to and have updated information as well as send their friends to it. Phil started one that night. Also discussed doing a promotional CD to send to the churches as well. We need everyone cooperation in helping to promote this retreat.
&   We discussed the cost of the retreat and if there should be a reduced fee for those who register and pay early. After much discussion it was decided to have the early registration as last year in October and the final payment will be due at the retreat. The cost will stay at $125 with the $50.00 deposit due per person in October.
New Business
&   In January we will meet with Skycroft to do a logistics meeting. Before this meeting we will need to know from the speaker, band and illusionist what their needs will be. We will work out all the small things at this meeting. So if you are a tract time leader and need certain equipment in your room, it will need to be presented at this time.
&   Correction on last minutes – January meeting date is January 13 not the 14th.
&   Next meeting – May 13 at First Baptist Church of Damascus.
